Safety in group transport is a shared responsibility — between the operator, the organiser, and the passengers. Brisbane Hire Bus takes care of the vehicle and driver side. This guide covers what organisers and passengers should do to make every group trip as safe as possible.
Part 1 — For Organisers: Before You Book
Verify the operator's credentials
Before booking any charter bus in Queensland, confirm that the operator:
- Holds a current Queensland Passenger Transport Authority registration
- Employs drivers with current Queensland heavy vehicle authorisations
- Carries comprehensive passenger liability insurance (included in every B.H.B booking)
- Has Working With Children clearances for drivers on school and youth bookings
- Conducts regular vehicle safety inspections and maintenance

Confirm seatbelt availability
All passengers on Queensland charter vehicles are required by law to wear seatbelts where fitted. Confirm seatbelt availability when booking — all Brisbane Hire Bus vehicles have seatbelts on every seat. For school bookings, seatbelt use is particularly important and our drivers enforce it before departure.
Plan for passengers with specific needs
If any member of your group has mobility limitations, medical conditions, or accessibility requirements, advise B.H.B at the time of booking. We can ensure the right vehicle is allocated and that the driver is briefed on any requirements. Never assume a standard vehicle will meet every passenger's needs without checking.
Part 2 — For Organisers: Before the Trip
Prepare a full itinerary and share it with all passengers
Include: departure time and location, all intermediate stops with addresses and durations, destination address and arrival time, return trip details, and emergency contact numbers. Send this at least 24 hours before the trip and again the morning of.
Establish emergency contacts and communication protocols
Every group trip should have: a primary organiser contact who travels with or is accessible to the group, the driver's mobile number saved and distributed, B.H.B's 24/7 phone number (0407 739 488), and a plan for what passengers should do if they become separated from the group.
For school groups — brief teachers and supervision ratios
Queensland Education recommends supervision ratios for school excursions. Confirm your teacher-to-student ratio before departure and brief supervising teachers on their responsibilities during transit. Designate a teacher to sit near the front to communicate with the driver.
Know which passengers have medical considerations
For school groups and senior travel, the organiser should hold a list of passengers with known medical conditions, allergies, or medication requirements. Know where the nearest hospitals and medical centres are along your route — especially for regional trips away from Brisbane.
Part 3 — For Passengers: On the Day

- Arrive at the pickup point at least 5 minutes before departure time
- Identify yourself to the day-of contact person when you board
- Wear your seatbelt as soon as you are seated — before the vehicle moves
- Keep aisles clear of bags and belongings throughout the journey
- Remain seated while the vehicle is in motion — do not stand or walk
- Follow all driver instructions immediately and without exception
- Do not distract the driver during transit
- Know the emergency exit locations on the vehicle
- Have the organiser's and driver's mobile numbers saved on your phone
Emergency exit awareness
When you board a charter bus for the first time, take 30 seconds to locate the emergency exits — typically the rear door and roof hatches. B.H.B drivers conduct a safety briefing before departure on longer trips. Pay attention; it takes less than a minute and the information matters.
What to do if you feel unwell during transit
Alert the nearest supervising adult or organiser immediately. Do not ask the driver to stop in an unsafe location — signal the organiser who can communicate with the driver to find the safest available stopping point. For medical emergencies, dial 000.

Pre-trip vehicle inspection
Every B.H.B driver completes a detailed pre-departure checklist covering brakes, tyre condition and pressure, seatbelts (all seats), exterior lighting, indicators, mirrors, horn, and emergency equipment. A vehicle that doesn't pass the check doesn't move.
GPS monitoring
All B.H.B vehicles are GPS-monitored by our operations team. In the event of an unexpected delay, route deviation, or emergency, our team is immediately aware and can respond. This provides an additional layer of safety assurance for organisers and passengers.
